Our renting guide for tenants

How It Works

Submitting an offer

All tenants applying for a property will need to individually complete an offer form. The offer forms will require your personal details such as employment, the offer you would like to submit and a declaration to the information you are providing along with the terms of the holding deposit. All offer forms are sent out electronically via Docusign for quick and easy completion.

Holding Deposit

If your offer is accepted, you will be required to pay a one week holding fee (of the agreed rent) immediately. Receipt of this will secure the property, allow us to cancel any further viewings on the property and begin the referencing process. The holding deposit will be offset against your first months rent.

Referencing and sanction checks

You will be prompted to complete your reference application form via our chosen referencing platform ‘HomeLet’. We ask that your application is submitted within 24 hours from your offer being accepted so we can finalise the tenancy and secure your new home as quick as possible.

Homelet will require a reference from your employer and landlord along with carry out a credit check. To speed up the process, we advise you notify both your employer and landlord that a reference will be needed.

To add any savings, you will be required to provide a savings statement dated within the last 28 days and either downloaded from your banking app or pop into your bank who will be able to provide a physical copy. *Please note screen shots will not be accepted.

Homelet will also conduct sanction checks which are in line with new regulations brought in by the Office of Financial Sanctions Implementation (OFSI) which is part of HM Treasury.

Right to rent checks

All tenants are required to present their passport in person to one of our offices whereby a member of the team will carry out a passport verification. This must be done at the soonest availability and arranged well in advance of your move date.

If you hold an overseas passport, you must provide your right to rent share code which can be generated through the Government website: https://www.gov.uk/prove-right-to-rent

Tenancy Agreement and Security Deposit

Upon completion of satisfactory referencing, the tenancy agreement will be sent to all tenants via Docusign for electronic review and signing. The security deposit of 5 weeks will be due at this point and prior to the execution of the tenancy agreement.

When received, the security deposit will be protected under the Tenancy Deposit Scheme whereby the certificate will be provided to all tenants. https://www.tenancydepositscheme.com/

Tenancy Execution

We will sign and execute the tenancy agreement once you have signed and we are in receipt of your 5 week security deposit.

Rent Due

Your holding deposit will be offset against your first month’s rent. After executing the tenancy agreement, the remaining balance of the first month’s rent will then be due. An invoice will be provided Via Docusign showing the balance remaining and including the deduction of the initial holding deposit. The invoice will include bank details for our client account which your rent will due to monthly.

For overseas payments, please take into consideration any overseas charges your bank may charge and the timeframe in transfer.

Check in and inventory

On your tenancy start date, a check-in and inventory appointment will be scheduled.

The time will only be confirmed upon completion of tenancy agreement and once all funds are received. If you have a preference on timings, please let us know and we will do our best to try and accommodate.

The clerk will conduct the inventory report, do a walkthrough of the property and release keys.

Please note the inventory report will be sent by Docusign 3-5 workings days after moving in and you will have 5 days to review the report and submit any comments.

If there’s anything that you would specifically like us to clarify for you, please just ask. For extra peace of mind, we’re members of the Property Redress Scheme. In the unlikely event of a dispute we can’t resolve, we recommend speaking with the Citizens Advice Bureau, who can advise you accordingly.
